Documents
What is an electronic document management system (DMS)?
Software that takes a document through its whole life. It is created, stored, approved (workflow) and archived, and at every moment you know where it is.
What is the difference between a DMS and an ERP system?
An ERP system manages the company's resources, finance, warehouses and operations. A DMS specialises in documents, the electronic archive and approval processes. BORA DMS can work on its own or connected to ERP software.
How does BORA DMS help ISO-certified companies?
Through the BORA QMS module. It controls versions, keeps audit trails and checks that procedures, instructions and ISO records meet the international requirements.
Which external integrations does BORA DMS support?
There are ready connections to state institutions (the NRA and the NSSI), to BORICA and bank statements, to e-Faktura platforms, to Easypay for payments, and to CRM and ERP systems.
Does the software support mobility and automated approval processes?
Yes. The workflow automation tools move documents through the approval stages according to the rules and roles set in the system.
Finance
What is the “Open payments” tool in BORA FM?
It tracks every receivable and payable that arises. From the agreed payment terms and due dates it builds an accurate cash flow forecast.
Does the software receive bank statements automatically?
Yes. Through BORA EDI and the direct connection to Bankservice (BORICA), statements arrive over a secure channel. The software recognises the payments and matches them to the documents.
Can BORA FM manage the finances of holding structures?
Yes. Where there are several related legal entities, BORA FM keeps a consolidated cash balance, and management sees the liquidity of the whole group.
How are exchange rates entered in the system?
In the shared currency register. You can enter the official rates of the Bulgarian National Bank, customs rates or internal commercial rates for a given period.
Supply
How does BORA SCM help determine the landed cost?
The system automatically adds transport, insurance, duties and fees to the base price of the goods delivered. Every item in the warehouse then carries its real cost.
Does the module generate Intrastat declarations automatically?
Yes. Once it is set up, the Intrastat sub-module collects the data on intra-EU transactions by itself and prepares the monthly declarations as the NRA requires.
What is Purchase Order Processing in the system?
It is the path of a single purchase. The order is created because stock is running low or production needs something, management approves it and it goes to the supplier. The process ends when the goods are received (GRN) and invoiced.
Can BORA SCM work with international suppliers in a foreign currency?
Yes. The module works with many currencies, keeps payables by currency and recalculates them automatically. It is linked to the BORA FM finance module and follows the customs requirements for foreign trade.
Materials
Which stock issue methods does BORA MM support?
Each warehouse can be set to weighted average price, batch tracking, FIFO or LIFO. The cost is updated automatically on receipt, issue and reversal.
What is location-based storage (warehouse layout) in the software?
The warehouse is divided into zones and bins in the system. Based on the product attributes, the system suggests where to put goods and where to pick them from, so staff walk less around the warehouse.
How does BORA Store help with stocktaking in large warehouses?
With BORA Store several employees scan barcodes (including GS1 barcodes) at the same time on Zebra mobile terminals. The data goes straight into the ERP system or is collected offline with Data Collector and imported later. The system uses it to produce the shortage and surplus lists.
Can the software generate documents from company templates?
Yes. BORA MM fills in MS Word templates that you have prepared in advance. This is how handover protocols, quality certificates and other documents with the goods and batch data are produced.
Customers
What is BORA Billing and which businesses is it for?
An automatic billing system. It suits companies with subscription plans, rental contracts, equipment maintenance or periodic metering of consumption. Hundreds of invoices are created and sent in one go.
Does BORA CRM work with large retail chains (EDI exchange)?
Yes. Data and electronic invoices are exchanged through international EDI platforms. BORA Business Suite is certified by LIDL Bulgaria for work through COMARCH EDI and has a direct connection to eFaktura (Bankservice).
What does processing orders against a BOM mean?
The sales rep takes an order for a complex product or bundle made of many parts and materials (Bill of Materials). The system works out by itself what must be in the warehouse to complete the deal.
Can the software control customer credit risk?
Yes. Each customer has a credit limit. If it is exceeded, further dispatches and sales stop until a manager approves them through a special procedure.
Retail
Which kinds of stores is BORA Retail System suitable for?
Supermarkets, specialist shops, boutiques and large retail chains with many customers. It works with barcode readers, fiscal devices and customer discount cards.
Can the software manage discounts and promotional campaigns centrally?
Yes. Policies and campaigns are set in the central system and reach every store in the network automatically. The cashier enters nothing by hand, so there is no room for error.
How does BORA Sales Mobile help distribution companies?
The travelling sales rep does not depend on the office. At the customer's site the rep checks stock, sees the individual price terms, enters new orders and checks late payments.
Does the POS terminal accept bank cards and vouchers?
Yes. BORA Retail System accepts payment by card (CRT), in cash or combined. The payment is linked automatically to the fiscal cash register and the card terminal.
Controlling
How does BORA Controlling handle the difference between CAPEX and OPEX?
Operating (OPEX) and capital (CAPEX) expenditure get different approval processes. Requests for fixed assets go through more levels, financial controllers and senior management, depending on the budget and the size of the amount.
What happens if a request exceeds the planned budget?
BORA Controlling monitors budgets all the time. If a request goes over the limit, the document stops and takes a special route to a user with the “Approver above the limit” role or to the finance director. That person decides.
Can the system be set so that documents are approved only in a fixed order?
Yes. For example, a contract or an expense request goes first to the line manager, then to the accountant and finally to the managing director. The next person in line does not see the document until the previous one has added a decision.
How are leave requests controlled in the HR module?
The employee submits the request in the system. BORA Controlling checks the employee's file: is there a right to this type of leave and are there enough days left. If everything is in order, the request goes for approval up the hierarchy.
Accounting
What is the “Automatic posting engine” in BORA AM?
A tool where the chief accountant sets up the posting rules for documents once. After that every sales invoice, warehouse document and bank transfer is posted by itself the moment it is completed in the ERP system.
How does the software make VAT and VIES reports easier?
BORA AM takes the data from the sales and purchasing modules as soon as it appears. The purchase and sales ledgers, the VAT return and the VIES declaration are filled in automatically. All that is left is to download the files and submit them in the NRA portal.
Does BORA AM keep tax and accounting depreciation side by side?
Yes. The fixed assets module keeps the assets in a separate register. Accounting depreciation is calculated under IAS or the Bulgarian National Accounting Standards, and tax depreciation under the Corporate Income Tax Act, both automatically.
What is the SAF-T module in BORA AM?
A feature built to the NRA's latest requirements for submitting accounting data in a single audit format. The module extracts the full history, the transactions and the balances and gathers them into a standardised electronic file.
SAF-T
What is the SAF-T requirement and why does it matter?
SAF-T (Standard Audit File for Tax) is an international standard for the electronic exchange of tax and accounting data between businesses and tax authorities. The NRA is introducing it in Bulgaria to automate tax audits. Companies must be able to generate very detailed XML files to a set schema.
Why is the ETL process in BORA BS SAF-T separate from XML generation?
Extracting accounting and warehouse data for a long period, a year for example, puts a heavy load on the server. So BORA BS first extracts the data and arranges it in temporary tables, often overnight. The XML file itself is then generated quickly and does not get in the way of people in the office.
Can I correct data in the SAF-T module if I find an error before submission?
Yes. You see the extracted data in the Janus Grid table. If the check shows, for example, a missing UIC for a customer or a wrong item code, you open the source document, correct it and generate the file again.
How does BORA BI help holding structures with SAF-T reporting?
With several companies or a very large number of transactions, BORA BI serves as a data warehouse (Data Warehouse). It gathers the information from the subsidiaries and their databases, transforms it to the NRA's requirements and generates the single audit file centrally, with no manual work.
BORA Small Business Suite
How many people can work with BORA Small Business Suite?
The package has 5 user licences for each module: Finance, Suppliers, Customers, Warehouse and Accounting.
What does the monthly fee cover?
Updates and support. The fee is EUR 49 a month excluding VAT.
Can I upgrade the system when the company grows?
Yes. You start with the small business package and extend it as your needs change.

Industry Solutions
How does BORA Manufacturing help keep stock levels right in production?
The MRP calculations take the active customer orders and show which raw materials they need. The system compares them with the stock in the warehouses and creates purchase orders to suppliers straight away. Machines do not wait for material, and the warehouse does not fill up with surplus stock.
Can BORA Fleet Management detect fuel misuse?
Yes. The system compares the distance travelled by GPS with the fuel invoiced by the petrol stations. If consumption on a route goes above the set norm, it shows up at once in a report for management.
Does BORA Project track the financial cost of projects?
Yes. BORA Project is part of the ERP platform. Every cost posted to the project (materials, salaries, transport, external services) builds up automatically in its file. The margin and profitability are visible at any moment.
How is employee piecework recorded in the Production and Service modules?
Through a system of standard times. The technological cards and the service orders hold a standard time and rate for each operation. When an employee finishes a task, the piecework is recorded automatically and goes to the payroll module (HR/payroll).
More about Industry Solutions →
Projects
What does it mean that a project is treated as a “cost object” in BORA BS?
The project is a separate financial unit in the ERP system, not just a list of tasks. Every material bought, the fuel for the machinery and the salaries posted to the project build up in its accounting file. So at any moment you know whether it is making money.
Can the hours worked on a project be invoiced to customers automatically?
Yes, through BORA Billing System. The system collects the approved hours from the work cards or from BORA Time Tracker and issues an invoice to the customer at the agreed hourly rates.
How does BORA PM help with logistics and delivering materials to projects?
Through the project delivery schedule. From the materials in the tasks, the system checks the stock in the central warehouses and plans what to deliver to the site and when, so the work does not stop.
How are security and access to information controlled in the module?
With roles. Who sees the budgets, who edits tasks and who signs off phases depends on the person's role in the project: worker, project manager, financial controller.
Manufacturing
How does the software help prevent delays on orders?
Before production starts, BORA Manufacture Management checks the stock in the warehouse, the orders to suppliers and the machine capacity. If something is missing or a workstation will be overloaded, the system warns the dispatcher and recalculates the schedule.
What is the difference between discrete and continuous production in the software?
In discrete production, assembling parts for example, the software counts pieces and tracks serial numbers. In continuous production, juices or mixtures for example, it works with recipes by weight or volume, accounts for technological waste and tracks the batches and shelf lives of the raw materials.
Can the software calculate production workers' pay automatically?
Yes. In the technological card every operation has a rate, so the system knows what it costs to make one piece. The worker or the team leader enters the quantity completed on the work card, and the piecework pay is calculated by itself. At the end of the month it goes to the payroll module.
What is the advantage of the shift report in BORA Manufacture Management?
Instead of dozens of separate documents, the shift supervisor fills in one screen. It holds the materials used, the rejects and the operations completed by the whole team for the day. The automatic processes cut the time spent on administration on the shop floor.
Service
How does BORA Service Management help control warranty repairs?
The product record keeps the warranty history and the warranty period. For a new service order the system recognises by itself whether the product is under warranty. If it is, the customer is not charged, and the parts and labour build up as an internal cost borne by the service centre or the manufacturer.
Can the car service module work with alternative part numbers?
Yes. If the original part is not in stock, the software immediately shows the available substitutes from other manufacturers with their current prices.
How is the piecework pay of mechanics calculated when they work as a team?
BORA SM accepts individual and team reports. If a diagnostician and a mechanic worked on one car, the operation is split between them by percentage or by hours. Each gets their share of the pay automatically.
What is the ETKA integration?
ETKA is the electronic catalogue of original spare parts for the Volkswagen group brands. Through the integration, the car repair shop exchanges stock and price lists quickly, without copying complex catalogue numbers by hand.
Distribution
How does BORA Shipment make sure a vehicle is not loaded beyond its capacity?
When the dispatch order is prepared, the system adds up the weight and volume of all the packages on the route. It compares them with the maximum load and volume of the assigned truck and stops the operation if there is a risk of overloading.
What are dispatch schemes (DSP) in the software?
Settings that make logistics run by itself. For example, orders from a given region go to a set logistics centre (office), are arranged along a set route and are given to a set driver on set days of the week.
How is packaging left with customers tracked?
Every pallet or returnable crate is recorded on the customer's account as deposit packaging. The system tracks how many items were left and how many came back according to the driver's handover protocol. The deposit balance is clear at any moment.
Can the software work with the specific product codes of large supermarkets?
Yes. In the warehouse the product has your internal code. When invoices and waybills go to international chains such as BILLA, the system replaces the codes and names with theirs, following their requirements and EDI standards.
Transport
How does BORA Fleet Management help avoid fines for missed insurance or inspections?
In the calendar you set how long before the deadline a warning should come, 14 days for example. The system goes through the register and notifies the fleet manager about expiring insurance, vignettes and technical inspections.
How is data imported from petrol stations?
There are ready B2B interfaces for the files of the large petrol station chains (Lukoil, Shell, OMV, Eko and others). The accountant does not key in hundreds of receipts. The file is imported into BORA BS, and the litres and amounts are allocated to the vehicles by fuel card number.
Can the module predict when a vehicle needs servicing?
Through the GPS systems BORA BS receives the real mileage every day. If you have set an oil change at 15,000 km, the software follows the kilometres and creates a service task when the vehicle gets close to the limit.
What is the benefit of integrating BORA Fleet Management with BORA Accounting?
Without it you cannot calculate the TCO (Total Cost of Ownership). When an invoice for a repair or for new tyres is posted, the cost is attached automatically to the vehicle's file. Management sees what each vehicle costs the company.
Human Resources
How does BORA HR help with summarised working time (SIRV)?
From the schedules and shifts in Form 76, the software checks that the legal requirements for daily and weekly rest are met. At the end of the reference period, 3 or 4 months for example, BORA BS calculates the accumulated hours of overtime and night work with the correct coefficients.
Can production piecework turn into salary automatically?
Yes. Work cards from the Production, Service and Projects modules go to the payroll module. There they are calculated as individual performance-based pay and included in the payroll, with no manual transfer of data.
How is personal data protection (GDPR) ensured in the digital files?
With roles. Who sees employment records, medical data and salaries depends on the employee's role. System administrators see only the technical settings, Personnel handles the files, and payroll specialists have access only to the financial part.
How are leave requests sent from the mobile app reflected in the system?
The employee submits the request in the BORA HR leave app and the line manager gets a notification. Once it is approved, the document enters the ERP system: the file in Personnel is updated and the absence is marked in Form 76 for the month.
Organisation
How does the meta language for pay elements help when the Labour Code changes?
If the state changes how the length-of-service bonus is calculated or introduces a new contribution, the payroll specialist does not wait for a new software version. Using the meta language, the specialist edits the formula or changes the percentages and the behaviour of the earning in the settings.
How does a schedule change in the middle of the month affect pay?
BORA HR keeps the hours by day. If an employee moves from the first shift to the night shift, the line manager updates the individual schedule in Form 76. The system separates the days before and after the change and calculates the night hours and the supplements to the tariff pay precisely.
Why does the integration of job descriptions with BORA QMS matter?
In an ISO audit or an internal quality check, job descriptions have to be in order. BORA QMS keeps the documents under version control. Every employee works to the latest approved description, and older versions are archived together with the change log (Audit Trail).
Can data from the access control system (turnstiles/cards) penalise unauthorised absence directly?
Not directly. The system compares the schedule with the real attendance from the access control system. If the employee has not checked in, the line manager gets an alert. After checking, the manager can record the absence in Form 19 as unauthorised absence or unpaid leave. At the end of the month the gross pay on the payslip goes down automatically.
Recruitment and Training
How does the system keep the choice of a new candidate objective?
With weighting factors in the assessment form. For example, technical skills count for 60% and communication for 40%. Panel members give scores on a scale, the software calculates the weighted value and produces the ranking. Personal impressions carry less weight.
Can the training module protect us from legal penalties over expired certificates?
Yes. For positions that need a periodically renewed qualification, such as welders, forklift drivers and health and safety specialists, you enter the validity period of the document. BORA HR notifies the HR department weeks before the deadline so that a refresher course can be planned in time.
How do you track the return on expensive external training?
Through the training agreement. It records how much the company paid for the training and for how long the employee agrees to stay. The agreement is linked to the employee's file. If the employee leaves earlier, the payroll module calculates the amount due in proportion to the time remaining.
Is the performance appraisal linked to setting bonuses and salaries?
Yes. The module is linked to the payroll core of BORA Salaries. The appraisal results and the level of competencies can change the base salary or become the basis for annual and quarterly bonuses.

Personnel
How does the unified electronic employment record change the work of the personnel department in BORA HR?
Paper employment record books are no longer filled in and stamped. Changes to salaries, positions, supplementary agreements and terminations are recorded in the software automatically. When someone leaves, the system exports the employee's full employment history electronically.
What happens in accounting when a sick leave certificate is entered in the Personnel module?
Once the sick leave is entered in the record, the absence code goes to Form 19. In the monthly payroll, the payroll module recognises the period, splits the days paid by the employer (the first days) from those paid by the NSSI and prepares the file with the data on state social insurance cash benefits.
Can we add fields to the employee record that the law does not require?
Yes, through the additional attributes. If you give employees company clothing, personal protective equipment or public transport cards, you add such fields and track them in the record.
How does the software protect documents from unauthorised access or deletion?
The register sits in a database with controlled access and is linked to BORA DMS. Every view of personal data, every edit of a contract and every upload of a scanned document requires explicit role-based permissions and leaves a trail.
Time Recording
What happens if an accountant tries to change the sick leave days by hand directly in Form 19?
The system will not allow it. Form 19 only shows and calculates time. To change the days, the sick leave certificate itself is corrected in the Personnel module. This way the data sent to the NSSI and the calculated pay always match.
How does the software convert night work to day work?
When the payroll is calculated, Form 19 separates the night hours (under the Labour Code, from 22:00 to 06:00). If the employee is on summarised working time, the software applies the legal conversion coefficient of 1.143 and the result goes to the payslip.
How are errors from overlapping schedules and leave orders prevented?
When Form 76 is transferred to Form 19, BORA HR checks the data. If the employee has an order for paid leave and the team leader has scheduled a shift on the same day, the system flags a conflict. The month cannot be closed until the duplication is cleared.
Can data from the access control system generate overtime directly?
Not directly. Check-ins show real attendance, but the system compares them with the schedule in Form 76. If the employee stayed 2 hours longer without an overtime order, the system records the time but asks the line manager for approval before those hours are paid at the higher rate.
Salaries
How do you make sure last month's temporary bonuses are not paid again?
When you add a variable earning, a project bonus for example, the system marks it as a “temporary element”. When the month is closed and the next one opened, BORA HR removes all temporary earnings from the new slips.
Can the system stop a garnishment deduction automatically once the amount is paid?
Yes. When you enter the deduction (garnishment, loan) on the employee's personal account, you set a final amount. Each month the set part is deducted and the balance grows. Once the amount deducted reaches the final amount, the deduction stops by itself.
How do corrections from supplementary agreements in the middle of the month show up in Declaration No. 1?
The supplementary agreement is activated in Personnel with a mid-month date, for a new salary or position for example. Form 19 records the movement, and Salaries calculates the pay in proportion to the days. In Declaration No. 1 the record is split into two or more lines with the correct codes for the insured days.
What does it mean that the journal entries are “portable”?
That they can be moved to another system. If you use BORA HR for personnel and payroll while the holding's accounting runs on other software, nothing is keyed in by hand. BORA BS prepares the debit and credit entries, with the analytics by cost centre, in XML or Excel, and they are imported into the external software.
Payrolls
How does BORA HR keep Declarations No. 1 and No. 6 correct in special cases?
The declarations are generated straight from the calculated pay slips. The software compares the employee and employer contributions with the tax base under the Personal Income Tax Act, watches the limits, such as the maximum insurable income, and fills in the insured person type codes as the NRA requires.
Can the accounting for salaries be split across different projects or departments?
Yes. From Form 19 the system knows where the employee worked during the month. If it was half the month in “Workshop 1” and half at “Site 2”, the salary and contributions are allocated and posted proportionally to the two cost centres.
How are the sick leave files for the NSSI generated if the holding has several companies?
BORA HR works with several companies at the same time (multi-company). At closing, the summaries, the NRA files, the bank files and the NSSI sick leave files are produced separately for each legal entity, with the correct UIC/BULSTAT in the covering letters and lists.
What happens if the bank changes its format for bulk salary payments?
Bank files are produced from templates that can be configured. If the bank changes its format, only the export template is updated, and the payroll logic stays the same. The file is once again in the format the bank accepts.
Business to Business
How does the ECOD COMARCH integration help us work with the large retail chains (Kaufland, Lidl, Metro and others)?
The large chains require their suppliers to send orders, dispatch advices and invoices through certified EDI platforms such as Comarch. BORA BS connects to them directly. When the chain places an order, it enters your ERP system as a ready sales order. When the truck is loaded, the dispatch advice goes to the chain automatically. The risk of penalties for delays or wrong items goes down.
How does automatic posting of bank statements work with the e-Bank Statements and SWIFT modules?
The accountant does not download files from each bank's online banking and does not key them in line by line. The software imports the statements by itself, recognises the IBANs and payment references, matches the payments to open invoices and closes them in the accounts. Processing bank documents takes much less time.
Is data exchange in multi-company mode secure if our companies have different activities?
Yes. The companies in the group can use shared master data, for example shared partners or items, and create intra-group documents automatically when company A sells to company B. Their accounts stay separate, and access to information depends on the user's permissions and role.
More about Business to Business →
BORA EDI
What is the difference between BORA vs BORA Sync and BORA vs BORA EDI?
BORA vs BORA Sync is for when several of your companies, in a holding for example, work in the same database and need to share master data at once and feed data for BI analysis. BORA vs BORA EDI is for when you and your partner, an external distributor for example, have separate servers and databases. Then the sales documents from your software enter the partner's software as purchase documents through an exchange of encrypted files.
How does BORA EDI Gateway cope if a customer's external system needs a specific data format?
That is exactly what the Gateway is for. It works as a translator: it takes the standard message from BORA Business Suite, applies the business rules and turns it into the format the other system needs (XML, CSV or a particular flavour of EDIFACT). The code of your ERP system does not change.
Can we connect the software to an external B2B online shop through BORA EDI Web API?
Yes. When a B2B customer orders on your website, the shop calls the BORA API and the order is recorded in the ERP system straight away. In the same way the website takes current stock and prices from BORA BS.
Is there a limit on the number of messages and documents we can transfer per day?
The software sets no limit. The components run on MS SQL Server and enterprise web services and handle a large volume of transactions. The speed depends on your servers and your internet connection.
SWIFT STATEMENT
What exactly are the MT940 and MT103 formats?
Bank formats for financial messages on the SWIFT network. MT940 is a detailed electronic statement with all the movements on the account for the day. MT103 is the format for a credit transfer (payment order), which banks use to process single and bulk payments.
Does the module work with Bulgarian banks, and does it support payments in euro and other currencies?
Yes. The module works with banks whose online banking exports statements in MT940 and accepts bulk payments in MT103. It supports domestic and interbank transfers in euro, as well as international transfers in US dollars and other currencies.
What happens if the statement has a transaction the system cannot recognise automatically (a bank fee or interest, for example)?
For transactions with no matching document (bank commissions, service fees, interest, internal operations) you set rules in BORA SWIFT Statement. When the system sees the code of a bank fee, it posts it to the set expense account without the accountant having to step in.
Can the module serve a company with accounts in 5 different banks?
Yes. The module works with many banks and many companies. You load the MT940 files from all the banks' online banking one after another, and the system sorts the transactions into the right bank journals by the IBAN of each account.
ECOD COMARCH
Do we have to be a large corporation to use BORA ECOD COMARCH?
No. The module is useful for companies of any size. If you are a small or medium-sized manufacturer or distributor and want your goods sold in the large international and national chains (Metro, Kaufland, Billa, Lilly, dm and others), they often make EDI integration a condition before the partnership even starts.
What happens if the price in the customer's order differs from the price in our ERP system?
When the order (ORDERS) is imported, the module compares the prices with the agreed price lists in BORA Business Suite. If there is a difference, the operator gets a message and the automatic confirmation stops. You clear up the difference with the buyer before the goods leave the warehouse.
How does the module deal with different product codes (we use one set of codes and the chain uses another)?
Through barcodes to the global standard (EAN / GTIN). In the BORA Business Suite catalogue each item has its barcode. The EDI messages through Comarch carry exactly these codes, so the software recognises the product whatever it is called in the buyer's system.
Do we need to buy extra software from Comarch, or is the module in BORA BS enough?
The module is built into your ERP system, and you work in the environment you know. You only need a contract with the EDI operator Comarch for the communication channel (mailbox) through which BORA BS sends and receives the files.
BORA SESPA
How exactly is data transferred from BORA BS to the state SESPA system?
Electronically, through the BDA's secure programming interface (API). BORA SESPA connects to the state server over an encrypted connection and authenticates with your company's digital certificates. Sending can run automatically on a schedule at the end of each working day.
How does the system know which medicinal products in our warehouse must be reported?
The BORA Business Suite catalogue has a special flag and a field for the product's identification code in the SESPA/Positive Drug List register. For a new item or during synchronisation, the software connects to the BDA's official list. For every warehouse operation the system reports only the products the law requires.
Is there a check for errors before the data goes to the BDA?
Yes. Before sending, the module checks that the required data is filled in on the trade documents: batch number, expiry date, quantity, counterparty code. If something is wrong, the operator gets an alert to fix it. Wrong or incomplete information does not reach the state system.
What happens in BORA BS if the BDA changes the technical requirements for submitting the files?
BORA Solutions follows regulatory and technical changes because it works with clients in regulated sectors. As soon as the BDA updates its interface, our team updates BORA SESPA, and clients receive the new version as part of their support.
e-bank Statement
What is the InfoBank 2 platform and what role does BORICA play?
InfoBank 2 is an electronic service of BORICA AD, the national card and clearing operator. It sits between the commercial banks in Bulgaria and company ERP systems. Your software does not connect separately to five banks, only to InfoBank 2, where it collects the standardised official statements for all company accounts.
What does it mean that the information is based on “final” statements?
The bank issues final statements after the end of the banking day, when all intrabank and interbank transactions have been fully processed. So the balances and turnovers in BORA Business Suite match the bank's data, and there is no need to correct duplicated or unapproved transfers.
How does the software know which invoice to close if the customer paid one total for 3 different deliveries?
Matching runs on several levels. First the system looks for an invoice number in the payment reference. If there is none, it recognises the customer by IBAN or BULSTAT and closes the customer's oldest open documents (FIFO method, first in, first out). If the amount does not fit any combination, the transaction is flagged and the accountant sorts it out quickly by hand.
Can we set up automatic posting for regular operations such as bank fees and commissions?
Yes. In the module you set templates based on the bank transaction codes (Transaction Codes) in the InfoBank 2 statement. When the system sees a code for a “transfer fee” or a “monthly service fee”, it posts the entry to the right expense account, with no operator involved.
e-Faktura-Bankservice
What exactly is the e-Faktura system and how does the integration with BORA BS work?
e-Faktura is a national web platform of BORICA AD that acts as a trusted third party in the exchange of electronic documents. The supplier issues the invoice in the system and it is signed electronically. The module in BORA Business Suite connects to your company mailbox in e-Faktura and downloads the document's structured XML file straight into accounting.
Can the module recognise the items on an incoming invoice automatically?
Yes. During import BORA e-Faktura reads the supplier's product codes and names. In a mapping table you link the supplier's code to your warehouse code once. On the next invoices the system books the right item by itself.
Do electronic invoices imported through BORA BS have the same legal and tax standing with the NRA as paper ones?
Yes. Documents exchanged through e-Faktura are tax documents under the Accountancy Act and the VAT Act. They are signed electronically and carry a BORICA timestamp, so their origin and content can be proven in NRA audits and inspections.
What happens if we receive an invoice whose amounts or items we disagree with?
Importing does not mean the invoice is posted without a check. It comes in with the status “Draft” or “Unconfirmed”. The accountant or the responsible manager reviews it. If it differs from what was agreed, they reject the document in the ERP system and ask the supplier for a credit note or a cancellation through e-Faktura.

Mobile Apps
Can the apps work if a site or warehouse has no stable internet?
Yes. Sales reps with BORA Trader and warehouse operators with BORA Store do their usual work even without a connection. The data is kept on the device and synchronised with the central BORA Business Suite database as soon as the internet is back.
How does BORA Time Tracker help manage field teams and construction sites?
Site managers or the employees themselves mark on the phone when a task starts and when it ends. The system links the time to the project or cost centre in the ERP system. Labour is calculated precisely, and the project cost is easier to work out.
Do we need to buy expensive industrial devices to use BORA Store in the warehouse?
Not necessarily. BORA Store is for Android and works on ordinary phones and tablets as well as on industrial mobile terminals (PDA) with a built-in laser barcode scanner. Which device to choose depends on how intensive the work in the warehouse is.
How is company data kept safe if an employee loses their phone?
The apps follow the access rights in BORA Business Suite. Data does not stay on the device in readable form, and the connection to the ERP system is encrypted. If the phone is lost or stolen, the administrator blocks the employee's profile from the central panel and nobody can log in with it.
BORA Trader
Can the sales rep issue a fiscal receipt or an invoice directly from the tablet at the customer's premises?
Yes. BORA Trader connects over Bluetooth to mobile fiscal devices and printers. The sales rep creates an invoice or a goods receipt, records the payment in cash or by card and prints the fiscal receipt and the document in front of the customer.
How do promotions set at head office affect prices in the mobile app?
Automatically. As soon as you enter a promotional period or a discount for a customer profile in the central ERP system, it applies in BORA Trader too. The app recalculates the prices while the sales rep is entering the order.
What happens if two field sales reps order the last units of the same item at the same time?
BORA Trader watches the stock in the central database. When the first sales rep completes the order, the quantities are reserved for that order. The second one sees at once that the item is sold out or reserved, and the system does not allow the same units to be sold again.
Can the app work offline if the sales rep visits a site with no mobile coverage?
Yes. Without a connection the sales rep browses the catalogue and records the order. The transactions are kept in the device's memory and go to the ERP system as soon as the phone or tablet gets internet.
BORA Store
Do we need Zebra terminals to use BORA Store?
No. BORA Store is tuned for Zebra devices through the DataWedge API, but it works on any Android smartphone or tablet. Barcodes are scanned with the phone camera or with an inexpensive pocket Bluetooth reader.
How do several users take stock at the same time without duplicating data?
When the count starts, the software assigns the sectors, or each employee scans their own zone. All scanned items are gathered straight away in the BORA Business Suite database. The system adds up the quantities for the same code from the different operators, so nothing is duplicated or missed.
How does GS1 barcode support help with food or medicines?
An ordinary barcode holds only the product code. GS1 barcodes (GS1-128 or DataMatrix, for example) combine the item code, the batch, the serial number and the expiry date in one symbol. Once they are scanned with BORA Store, this data fills in the document by itself, and every unit can be traced (traceability).
What happens if an employee goes deep into the warehouse where the Wi-Fi signal drops?
Work goes on. The employee scans and fills in the warehouse slip without a connection, and the app keeps the transactions in the device's memory. Once back in an area with Wi-Fi or a mobile network, the data goes to the ERP system automatically.
BORA Time Tracker
What exactly is KIOSK mode and how is it used on site?
A tablet or smartphone at the entrance to the site, a construction site or a factory for example, becomes a shared registration terminal. Workers do not install the app on their personal phones. When they arrive and leave, they record their attendance on the shared device with a PIN code, a barcode card or a personal profile.
Can the recorded time go automatically as cost to a specific customer project?
Yes. When the employee starts the timer for a task, the hours are linked to the project or cost centre. At the end of the month management knows what the labour for the customer cost and how much the project earns.
How does the software prevent misuse in remote time recording (starting the timer from home instead of on site, for example)?
If you choose, BORA Time Tracker records the GPS coordinates when the working day or the task starts and stops. The manager sees whether the employee was at the customer's address or on site when the hours were recorded.
Can a manager correct time an employee forgot to record or got wrong?
Yes. If an employee forgets to stop the timer or to mark the lunch break, they cannot change past periods themselves. The line manager or the administrator reviews the correction request in the central panel of the ERP system and fixes the hours after approval.

Analytics and Reports
What is the difference between an Active report and an Analytical business report?
An Active report is a flat table with rows and columns for everyday work, for example a list of the month's invoices that you can edit. An Analytical report (OLAP cube) is multi-dimensional and is for decisions. On one screen you see sales by product group, by region and by month, compared by sales representative.
Can BORA BI consolidate data from several companies in the holding?
Yes. The Consolidation step automatically removes intra-group turnover and overlaps and combines the data of the separate legal entities into one report for the holding.
How do the Costs and Business lines dimensions help control cost?
In the BI module you set how indirect costs (rent, logistics, administration) are allocated across business lines or activities. The Allocation and Calculation steps show how much each project or workshop earns.
Do users need to write code to create new analyses?
No. Business analysts and finance managers set up new views, change the weighting of dimensions and build reports themselves in the graphical interface of BORA BI.

Active Reports
What does it mean that I can edit data directly through an Active report?
An ordinary report only shows data. An Active report in BORA BS is a workplace. If you see a mistake in the list, a wrong customer address or a wrong expense item for example, you click the row, the document itself opens and you fix it on the spot, if you have the permissions.
How does BORA Active Reports protect us from errors when importing large Excel tables?
During import the software applies the rules of the relevant module. If the table has a partner code that does not exist or a wrong UIC, the row is not imported and an error is shown. The database stays clean.
Can a report view created by one user be shared with the whole company?
Yes. When you save the view (filters, column order, totals) in the gallery, you choose whether it stays just for you or becomes a shared company template for a given role or department.
How does the Ribbon container make our staff work faster?
The employee does not open and close lots of menus. One screen holds the list of documents, the analysis tools, the barcode scanner settings, the master data and the context help. That is why transactions are processed faster.
Analytical Reports
Why use an OLAP cube instead of a standard report to analyse sales?
A standard report gives a flat answer, sales by customer for example. An OLAP cube gives several dimensions on one screen. You put “Country” and “City” in the rows, “Product group” and “Month” in the columns, and in the middle you see both the turnover and the margin percentage. Rearranging with the mouse takes seconds.
What exactly does the Slideshow function on the timeline do?
It shows how the business develops over time. If you are looking at stock or sales by region for the last 5 years, each year or month is a separate page. In the slideshow the pages turn by themselves, the chart bars grow or shrink, and seasonal trends and market cycles become clearly visible.
Are the filters from the Active report lost when I switch to an Analytical report?
No. If in the Active report you have kept, say, only the invoices of a given supplier or region, the OLAP cube takes exactly that data. The analysis starts from the information you care about and saves time and resources.
Is there a risk that end users change real data in the database while playing with pivot tables?
No. The Analytical report works “read only” on transactions that are already posted. Moving columns, grouping and totals change only the view on screen. Users experiment freely, and the accounting and operational data stays untouched.

Business Analytics
What makes BORA BI a “third-generation” system?
In the first generation of BI, IT specialists wrote SQL queries for every report. The second generation brought charts, but the data was cut off from the ERP system. BORA BI keeps the dimensions directly in the accounting entries and has a built-in model that transforms the data at once, without expensive external connector software.
How do you make sure managers see only the information they are responsible for?
Permissions in BORA BI follow the management hierarchy. When an analytical report is published, the data is filtered according to the user's profile. The director of “Division A” sees only the income and expenses of that division, and senior management sees the whole holding consolidated.
Can we compare the current month with the planned budget or with the same period last year?
Yes. The system keeps the history of reports, so variance analysis (Variance Analysis) shows the “Current period”, “Previous period” and “Budget” columns side by side. Deviations in percentages and in absolute value are calculated automatically.
How do dimensions in the accounting entries help calculate the real cost?
In ordinary accounting you see the total expense, for example “External services”. In BORA BI every expense item comes in with its three dimensions. It is clear at once that the expense is in the “Plovdiv” division (Division), for the “Logistics” activity (Business field), and is a “Courier cost” (Cost). Management sees the exact cost of every process.

ViDA
Has the law on mandatory e-invoices been adopted?
No. As of October 2026 the texts are a draft for public consultation. Approval by the Council of Ministers and a vote in the National Assembly are still ahead, after which the Ministry of Finance will issue an ordinance with the technical requirements.
Will a PDF invoice still be valid?
Not for transactions that require a structured invoice. PDF remains possible outside that obligation, for example for sales to private individuals.
Does it affect me if I am not VAT registered?
Partly. Non-registered companies will receive structured invoices from their suppliers and must be able to accept them. They issue structured invoices themselves only when selling to the state or to state and local authorities.
What about sales with a cash receipt?
Sales to private individuals and sales with an extended fiscal receipt issued at the time of sale stay outside the structured invoice obligation.
Do I have to use Peppol?
Peppol is the European network for exchanging e-invoices and the main channel for intra-EU transactions under ViDA. The ordinance will specify whether it is also mandatory for domestic transactions. BORA ViDA supports Peppol alongside reporting to the NRA.
When will BORA ViDA be ready?
Development is planned so that the module is tested in the NRA test environment and rolled out to clients before 1 January 2028. We will keep our clients informed at every step.
Industries
Our company runs a mixed business: we have production, our own shops and a service centre. Can we combine several solutions?
Yes. BORA Business Suite is one system. All the data is in a shared database, and accounting and the financial reports summarise it automatically and at once.
How do you make sure the pharmaceutical solution meets the constantly changing requirements of the BDA and SESPA?
We follow regulatory changes and keep the pharmacy solution in line with them. The BORA SESPA module exchanges data automatically with the state platform over secure encrypted channels. Changes required by the Bulgarian Drug Agency (BDA) or the Ministry of Health reach the software on time.
Can the services and projects solution be integrated with mobile devices for field staff?
Yes, with the BORA BS mobile apps. Technicians, consultants and sales reps in the field record the work done, enter the materials used, log hours on projects and take orders from a smartphone or tablet. The office sees the data straight away.
Trade
How does the system help keep a physical warehouse and an online shop in sync?
Through the Web API interfaces of BORA Business Suite. The ERP system feeds current stock and prices to the online shop. When a customer orders on the website, the order enters BORA BS as a “Customer order”, reserves the quantity in the warehouse and gets packing ready.
Can the software calculate sales representatives' commissions automatically?
Yes. The bonus rules are set flexibly: a percentage of turnover, a percentage of net margin, a percentage of amounts collected, or a bonus for a set volume in a product group. Bonuses are calculated automatically from the documents in the system.
How are warehouse audits and stocktakes managed without stopping sales entirely?
With partial or cycle counting. The count covers a specific warehouse, rack, brand or product group. Only the positions being counted at that moment are blocked, and the rest of the warehouse keeps serving orders.
Manufacturing
How does the system deal with recording technological rejects during production?
The technological cards set an acceptable percentage of waste or rejects for each operation. If the operator reports more rejects, the system asks for a reason code: faulty raw material, machine breakdown or human error. The data goes straight into the cost analysis, and the quality department can react in time.
Can the software manage operations outside the workshop (subcontracting to external providers)?
Yes. Sometimes a product goes to a subcontractor for processing, galvanising, painting or hardening for example. In the technological card this is marked as an external operation. The software creates the documents for sending out the semi-finished goods, tracks how long they stay with the partner and, when they come back, adds the service invoice to the cost of the product.
Can the production module be integrated with weighbridge systems or the machines' SCADA software?
Yes. The architecture of BORA Business Suite is open and has many API interfaces. The system connects to industrial electronic scales and books the weight automatically, and it exchanges data with SCADA systems and machine controllers. The pieces or cycles produced come directly from the line into the ERP system, with no operator involved.
Services
Is BORA Business Suite suitable for companies with a mixed business model, for example services combined with selling goods and a warehouse?
Yes. In BORA BS all processes are in one system. You sell services, track the stock of consumables or goods with barcode readers, and everything is posted automatically in the shared database. One workstation (POS) handles both customer sales and complex warehouse operations.
We have a chain of outlets around the country. How do you make sure prices, promotions and loyalty cards are in sync everywhere?
All outlets and head office work in one database on a shared server, local or in the cloud (BORA Cloud). As soon as marketing or sales enter a campaign, change a price list or give loyal customers special terms from the back office, the changes apply at once in every outlet. Customer card readers and card terminals are connected directly, so there is no manual entry and no error at the till.
How does the software make the specific accounting and paperwork of tour operators and travel agencies easier?
BORA BS has a separate module for tourism. It automates the VAT on the margin for a package travel service under the VAT Act, issues and tracks vouchers, creates the sales documents and is connected directly to the Amadeus reservation system. Operators do not enter the same data in two places.
Can we link service management with staff schedules and pay?
Yes, through the BORA Human Resources module. You plan team capacity, record time worked by customer, project or site, and the pay, bonuses and commissions are calculated from this data.
Our company is ISO certified. Can BORA BS generate documents automatically to our quality standards?
Yes. Documents are created automatically and can follow your quality management system under the ISO series of standards. Every quote, contract, handover protocol or report comes out of a set template, which helps with internal audits.
How quickly can we open a new outlet or add a workstation?
Quickly. The system runs centrally and can be in the cloud, so a new outlet or workstation needs only a computer or another device and internet. Master data, services and prices come automatically from the central server, with no local installations or long setup.
What are the financial options for getting the system, and do we have to buy licences up front?
No. BORA Solutions offers two models, depending on your means and your cash flow:
Purchase (On-Premise): perpetual licences and implementation on your own infrastructure.
Rental (SaaS / BORA Cloud): “software as a service” for a monthly subscription. For every client we prepare an individual project based on the number of workstations and the needs of the business, drawing on our team's more than 30 years of experience and many successful projects in the sector.
Automotive
Can the BORA BS system be integrated with external spare parts catalogues (such as TecDoc)?
Yes. BORA Business Suite connects through API interfaces to external spare parts databases and catalogues. Service advisers and sales staff search for parts by VIN (chassis number), make, model or variant and import the right OE codes and their equivalents straight into the service order.
How does the software help track the efficiency of individual mechanics in the workshop?
Every service operation, “replace front brake discs” for example, has standard labour hours. When the operation is assigned to a mechanic or a team, the software records the real time. From this data management gets reports on the productivity, workload and piecework pay of every employee in the workshop.
How is the replacement of parts and their issue from the warehouse to a specific car managed?
Automatically and with protection against misuse. The parts the mechanic requests are entered on the service order. The warehouse employee issues them with a barcode terminal, stock goes down and the cost goes to the car's file. A part without an open order cannot leave the warehouse without permission in the system.
Pharmaceuticals
How does the BORA BS system handle the mandatory daily reporting to the state authorities?
With the BORA SESPA module, built under Ordinance No. 4 of 31 May 2019. The software collects the data on the quantities delivered, sold and in stock from the Positive Drug List and sends it electronically every day to the Bulgarian Drug Agency (BDA). No manual work is needed, and the risk of penalties goes down.
How are access and data security controlled when workshops and offices work in a single database?
Permissions are set in detail. Each employee (workshop operator, warehouse worker, accountant, sales manager) sees and edits only the information related to their job. All actions are recorded in a system log (Audit Trail) that shows who did what.
Can the software manage quarantine of raw materials before they are released into production?
Yes, through stock statuses. A new batch of active ingredients or substances automatically gets the status “Quarantine”. The raw material is in the warehouse but cannot be withdrawn or used in a production order. Only when the quality control laboratory approves it and the status becomes “Released” is the batch available to the workshops.
System Integration
Why does it matter that system integration is done by the ERP implementer and not by an outside IT company?
An ERP system has its own requirements for disk speed, network data transfer and database security. When BORA Solutions also does the hardware integration, the servers are tuned precisely for BORA Business Suite. If there is a problem, the software and hardware suppliers do not pass the responsibility back and forth, and you have one contact for support.
What are the advantages of certified equipment from partners such as HP, Dell and Cisco?
Business software needs hardware that tolerates failures (redundancy). HP, Dell and Cisco servers have redundant power supplies, fans and disks (RAID arrays). Even if a component fails, the server keeps running until our engineer replaces the part, and the working day in the factory or office does not stop.
Can our existing IT infrastructure be used when implementing BORA Business Suite?
Yes. In the initial analysis our system engineers check your current equipment: servers, networks, computers. Whatever meets the requirements for reliability and performance goes into the new model, and you avoid unnecessary costs. We only suggest replacing the components that would become a bottleneck (bottleneck) for the business.
More about System Integration →
Implementation
How long does the whole BORA Business Suite implementation take on average?
It depends on the size of the company, the number of workstations (licences) and how complex the processes are, for example whether there is production or only trade and accounting. For small and medium-sized companies with a standard model in BORA Cloud it can take from a few weeks to 2 months. For large industrial companies with a major process redesign, the project is split into stages and takes between 3 and 6 months. Everything is set out in advance in a detailed schedule.
How do you make sure our daily work does not stop during data migration and the launch of the new system?
Our methodology is designed so that your work does not stop. First we build a test environment with your real data. Configuration and training happen there while staff carry on working the old way. Real work in BORA Business Suite (Go-Live) starts on an agreed day off or outside working hours, after the current balances have been transferred.
What happens if we hire new staff after implementation? How will they be trained?
Besides the initial team training in stage 5, BORA Solutions also offers training later on. New staff take individual online sessions with our consultants, use the system documentation and video guides, or the case studies and good practices in the client portal on our website.
Support
How quickly does the support team respond to a critical problem in the system?
We work with remote access tools, so we respond quickly. For a critical problem that stops work, for example with issuing invoices, field sales or warehouse operations, our consultants connect with the user in an online session within minutes and solve the case.
How are our staff prepared in advance for major legislative changes that affect the software?
We start early. As soon as the state or the EU announces a major regulatory change, our team begins development. Before the law takes effect we deliver the finished version with detailed written instructions and, where needed, hold webinars and seminars. Your staff are ready before the requirements become mandatory.
Do custom developments made for our company affect future standard BORA BS updates?
No. The architecture of BORA Business Suite is modular, and custom developments are written separately from the standard core. Your business logic keeps working however many new versions of the shared system you receive.
Cloud
What exactly is the free consultation you offer?
Every company works differently, so we do not believe in “one-size-fits-all software”. Our consultants meet you free of charge and look at how many staff you have, what their roles are and which processes matter. Then we size the package so that you pay only for the modules that bring value.
How do you make sure our data in the cloud is protected and nobody else can access it?
Each client has a separate, isolated environment (multi-instance architecture), not a shared database. The connection is encrypted (SSL/TLS), access is by permission only, and user actions are logged. Automatic backups protect the data from ransomware (viruses that encrypt files) and from physical failures.
Where is the cloud infrastructure and how is it sized?
It is sized to the specific needs of each client. It can be hosted by us or in an independent cloud.
About Us
What exactly does “business process re-engineering” mean when implementing BORA BS?
Many companies automate the ways of working they already have, even when they are clumsy. In re-engineering our experts look at how information moves through the company and suggest shorter and safer paths. Data is not duplicated, documents are processed faster, and errors from manual work go down.
How does BORA Solutions keep data secure and protect trade secrets during data migration?
Data security comes first and rests on our implemented ISO 9001 quality management system. Before every project we sign a mutual non-disclosure agreement (NDA). Migration follows clearly defined procedures, and BORA Business Suite has encrypted protection and detailed access rights.
How does BORA BS software develop over the years, and how do clients receive new versions?
Our development team keeps adding new features, improvements and modules to BORA Business Suite, following the direction the world is moving in. Clients with subscription support regularly receive the new versions and updates (builds), so their system does not become outdated.
