Time Recording

The Time Recording module in BORA HR connects personnel administration with payroll. Working time is recorded accurately, and people work more efficiently.

Time recording

Work is recorded by time and by quantity. Complex schedules, shifts, absences and special legal regimes, such as summarised working time (SIRV), are processed automatically.

How the module works

Form 19: the link between Personnel and Salaries

Form 19 (the staff movement form) is the central document in BORA HR. It gathers the personnel information and turns it into hours and days for the payroll:

  • documents from Personnel (contracts on joining and leaving, leave orders, sick leave certificates) go automatically to Form 19, and absences are marked in the employee’s personal schedule;
  • data from official personnel documents cannot be corrected or deleted by hand in Form 19. To change it, the source document is cancelled or a reversing document is issued, for example an order ending the leave. Every change leaves a trail (Audit Trail);
  • with one click the payroll specialist goes from the payslip to Form 19 and back to the Personnel document the entry came from.

How time worked is split

BORA HR splits the hours in Form 19 automatically into these items:

  • days and hours actually worked against the standard;
  • night work and conversion of night hours to day hours;
  • extra hours and converted extra hours;
  • work on official public holidays and overtime.

Complex schedules and SIRV (Form 76)

For companies with a continuous cycle, shifts and a complex organisation of work:

  • schedules are arranged by shift and by group of workers, in a visual calendar that is edited on screen;
  • for employees with an individual schedule and SIRV, an electronic Form 76 is used. At the end of the reference period, 3 or 4 months for example, extra hours and overtime are calculated automatically;
  • line managers and workshop heads enter absences (sick leave, paid leave, unpaid leave) only as a duration, on the spot and on time;
  • when Form 76 is transferred to Form 19, the system checks for overlapping periods, mismatched shifts and rest periods broken under the Labour Code.

Link with access control

Individual schedules and time worked can be filled in directly from access control systems (turnstiles and card readers). The software accepts different import formats. This records the exact hours of attendance rather than someone’s estimate.

Frequently asked questions about time recording

What happens if an accountant tries to change the sick leave days by hand directly in Form 19?

The system will not allow it. Form 19 only shows and calculates time. To change the days, the sick leave certificate itself is corrected in the Personnel module. This way the data sent to the NSSI and the calculated pay always match.

How does the software convert night work to day work?

When the payroll is calculated, Form 19 separates the night hours (under the Labour Code, from 22:00 to 06:00). If the employee is on summarised working time, the software applies the legal conversion coefficient of 1.143 and the result goes to the payslip.

How are errors from overlapping schedules and leave orders prevented?

When Form 76 is transferred to Form 19, BORA HR checks the data. If the employee has an order for paid leave and the team leader has scheduled a shift on the same day, the system flags a conflict. The month cannot be closed until the duplication is cleared.

Can data from the access control system generate overtime directly?

Not directly. Check-ins show real attendance, but the system compares them with the schedule in Form 76. If the employee stayed 2 hours longer without an overtime order, the system records the time but asks the line manager for approval before those hours are paid at the higher rate.
