Controlling

BORA Controlling connects business analysis with the real decisions in the company. Analysis shows what is happening, and the module sets who approves what and when.

Controlling

Administrative and financial documents go through approval by roles and rules that you set up and change yourself. This lets management control operating costs, investments, HR decisions and company correspondence before anything happens.

What BORA Controlling covers

Business documents and workflows (DMS and workflows)

Company documents travel their whole path in the system, and for each one you know who did what:

  • contracts, orders, protocols and official letters are filed and approved at different levels;
  • the files that support the decision are attached to each document: quotes, specifications, analyses;
  • you set the order of approval. For example, the document reaches the next level only after the line manager approves it.

Control of capital and operating expenditure (CAPEX / OPEX)

Unplanned and unnecessary spending is stopped before it happens:

  • internal purchase requests are approved before they go to the external supplier;
  • if someone tries to exceed the budget of a cost object, a project or a type of expense, the system flags it at once (plan versus actual control);
  • roles in the approval matrix are set by amount, by price range from and to, by type of expense or by a specific event;
  • there are separate roles for financial control and for the approver above the limit (escalation).

Human resources controlling (HR Controlling)

Routine HR procedures become faster:

  • employment contracts, supplementary agreements (annexes) and termination orders are agreed electronically;
  • for every leave request the system checks at once the type of leave and how many days are due by law or by contract;
  • HR changes are approved according to the organisational hierarchy or according to the cost centres.

Notifications and process automation (Workflow Engine)

The module is built so that documents do not sit waiting on someone’s desk:

  • the person responsible gets a notification as soon as a new document arrives for approval;
  • the employee who created the document finds out at once when its status changes: approved, rejected or returned for correction with a comment;
  • signatories are easy to change when the company structure or the rules for a given object change.

Frequently asked questions about business controlling

How does BORA Controlling handle the difference between CAPEX and OPEX?

Operating (OPEX) and capital (CAPEX) expenditure get different approval processes. Requests for fixed assets go through more levels, financial controllers and senior management, depending on the budget and the size of the amount.

What happens if a request exceeds the planned budget?

BORA Controlling monitors budgets all the time. If a request goes over the limit, the document stops and takes a special route to a user with the “Approver above the limit” role or to the finance director. That person decides.

Can the system be set so that documents are approved only in a fixed order?

Yes. For example, a contract or an expense request goes first to the line manager, then to the accountant and finally to the managing director. The next person in line does not see the document until the previous one has added a decision.

How are leave requests controlled in the HR module?

The employee submits the request in the system. BORA Controlling checks the employee’s file: is there a right to this type of leave and are there enough days left. If everything is in order, the request goes for approval up the hierarchy.
