Matching open payments from a list

A software mechanism (feature) has been developed for allocating (matching) the amount on a bank statement line to open payments. For this you need a list in a TXT file with two columns: document (invoice) numbers and amounts:

What's new in Build 8.2.019

The new feature is on the line Finance\Portfolios\Bank (1200) => “Open” => “Bank statement: Form” => “Actions” tab => “Match open payments from a list”.

A form opens with two sections: one with the data from the list and one with the data on the open payments arising from the documents in the list. Choose the file with the three dots (…), press the “Load” button, then “Match”. BORA BS carries out the necessary checks, reporting any errors, and if there are none, it links the amount from the bank statement with the open payments.

Analysis of POS receipts (cashless payments)

A new global setting (Set Up parameter) has been created to control the payment ground used for entering cashless payments (POS receipts by card) in the bank statement. The parameter is called POSReason, and it holds the number (No) of the payment ground with which you enter POS terminal receipts in the bank statement.

To control the analysis of sales invoices and the cash desk / object from which they were paid / issued, two new parameters have been created in the “Global Settings” list, which set:

  • POSCheckOBJ: whether the object on the bank statement lines is taken into account when analysing invoices paid on POS: True (Yes, it is taken into account) or False (No, it is not);
  • POSIsOBJType321: whether, when analysing invoices paid on POS, the object type on the bank statement lines must be type 321 “Cash desk with fiscal printer”: True (Yes, the object is a “Cash desk with fiscal printer”, and invoices paid on a specific POS terminal are searched for) or False (No, the object is not a “Cash desk with fiscal printer”, and invoices issued by a specific object, a “Revenue centre”, are searched for).

A new list for Intrastat and assistants for exporting declarations

In build 8.2.019 of BORA BS a new Intrastat list is available, opened from the line Supply\Foreign Trade\Intrastat (2301). The existing Intrastat lists and reports will still be available and can still be used to prepare the declarations. The new Intrastat list (2301) has reports for both flows, intra-EU imports (arrivals) and intra-EU exports (dispatches).

The list can show data on:

  • the documents (invoices and notes);
  • the products;
  • the data for export in the declaration:

In build 8.2.19, on Intrastat, new BORA BS assistants for exporting declarations are available:

  • for intra-EU imports (arrivals)

The new assistants for exporting Intrastat declarations now have the option of including sales credit notes (document types 6311 and 6321) in the flow of intra-EU imports (arrivals).

When a document of type 6311 or 6321 meets the conditions for inclusion in an Intrastat declaration, its data (transactions) are included in the export of Intrastat declarations for intra-EU imports (arrivals), with negative values becoming positive, and the attribute from the master data “Main customs procedure, transaction type (MMD)” has the value 21, i.e.:

which means:

2. Return and replacement of goods free of charge after the original transaction was registered;
1. Return of goods.

The conditions for an invoice to be included in an Intrastat declaration have been extended: the supplier (the counterparty in the sales document, 63%) may be a person not registered for VAT (i.e. the Tax number field is empty), but only in combination with transaction type (MMD) 12 “Distance sales”, in which case the tagin the XML file is empty.
According to guidance on the NRA website: “If the transaction type is 1.2 Distance sales, the Partner’s VAT number field must be empty”!

  • Intra-EU exports (dispatches):

The new assistants for exporting Intrastat declarations now have the option of including purchase credit notes (document type 2411) in the flow of intra-EU exports(dispatches).

Customers

Option to block export to an invoice if the payment terms are advance payment

A new SetUp parameter has been created in Global Settings to control the Export to invoice button.

If the value is NO / False

The button can be used whether or not the payment terms are marked as advance payment.

If the value is YES / True

The button can be used only if the invoice has payment terms that are not advance payment.What's new in Build 8.2.019, image 6

Issuing an invoice for the remainder more than once

The new version allows more than one invoice for the remainder when the payment terms are advance payment. Each time an invoice for the remainder is generated, a material balance of the products in the order is made against those already invoiced. A balance of the advance amount (AdvPay) is also made, where the remaining advance amount is the sum of all advances on invoices linked to the order. !!! If the sale has a USN, the advance amount in the invoice for the remainder CANNOT be changed.

Changing the counterparty

A change has also been made to changing the counterparty in purchase and sales documents, as well as in purchase orders and customer orders. Until now, changing the counterparty also changed the parameters that depend on it, the object and the employee. Now you can choose whether to change the counterparty together with the parameters that depend on it, change it without changing those parameters, or cancel the change.

Changed logic when exporting an invoice from a customer order linked to a credit or debit customer order

When a sales invoice is prepared from a customer order, the analysis also includes the credit or debit customer orders linked to the order. The change applies only to installations where the link is at document level only, not at line level.

Users can now set up the columns in the lists opened from each form through the Links option.

The lists reached through the links of each form can be set up to show the columns you want, using the Choose fields function and then Save current view.

The “Delivery” tab in purchase and sales documents

A new Delivery tab has been added to sales invoices, purchase invoices, customer orders and purchase orders, where the delivery parameters are entered: recipient, end customer, delivery address, delivery terms and more. It also has a section for the e-mail addresses of the individuals (the employee and the contact person) from the document, for sending an EDI file by mail.

Checking the declaration for the use of precursors

A check by the Barcode field of the product record (CAS No.) has been added to the procedure that checks for a valid declaration for the use of precursors. That is, if the document lines include a product (code) whose barcode (CAS No.) equals the product code in the lines of the partial declaration of use (document type 829999), the document is activated / closed successfully. If not, a message says that product “XXX” is not covered by the counterparty’s declaration.
